Input Details
Policy Context
This is the most important input field where you describe:
- The purpose and scope of the policy you need
- The industry or organization it applies to
- Key stakeholders affected by the policy
- Specific goals or concerns the policy should address
Example:
This workplace health and safety policy is for a medium-sized manufacturing company with 150 employees across three locations. The policy should address OSHA requirements, outline procedures for reporting hazards and incidents, define roles and responsibilities for safety officers, and include guidelines for training new employees on safety protocols.
Example Policy (Optional)
You can upload an existing policy that represents the style, tone, or structure you prefer. The app will use this as a "what good looks like" reference. This is particularly useful if:
- You want to maintain consistency with existing organizational policies
- You have a specific formatting or structural preference
- You want to update or expand an existing policy
Legislation Content (Optional)
In this field, you can provide relevant legislative or regulatory text that your policy needs to comply with, such as:
- Industry-specific regulations
- Local, state, or federal laws
- International standards or requirements
- Organizational governance requirements
Example:
OSHA Standard 1910.132 - Personal Protective Equipment:
The employer shall assess the workplace to determine if hazards are present, or are likely to be present, which necessitate the use of personal protective equipment (PPE). If such hazards are present, or likely to be present, the employer shall:
(i) Select, and have each affected employee use, the types of PPE that will protect the affected employee from the hazards identified in the hazard assessment;
(ii) Communicate selection decisions to each affected employee; and,
(iii) Select PPE that properly fits each affected employee.
Additional Instructions (Optional)
Use this field to provide specific preferences or requirements for your policy, such as:
- Preferred tone or writing style
- Specific sections to emphasize
- Required terminology or phrasing
- Special formatting needs
- References to include
Output Details
After processing, the app generates up to three components:
1. Policy Template
A structured outline that includes:
- Standard policy sections (Introduction, Objectives, Roles and Responsibilities, etc.)
- Formatting and headings for clear organization
- Placeholder text for sections that need customization
- Guidance notes on completing specific sections
2. Draft Policy
A comprehensive policy document that includes:
- A complete policy title and introduction
- Clearly defined objectives and scope
- Detailed roles and responsibilities
- Specific guidelines and procedures
- Compliance and monitoring provisions
- Review and update schedules
- References to relevant standards or legislation
3. Legislative Review (if legislation content was provided)
A detailed analysis that includes:
- Compliance assessment of the draft policy against provided legislation
- Recommendations for improving or strengthening the policy
- Highlighted sections that require attention
- Example updated sections with legal recommendations implemented
Policy Structure
The generated policies typically follow this structure:
- Policy Title: Clear identification of the policy topic
- Introduction: Purpose and scope of the policy
- Objectives: Goals and intended outcomes
- Roles and Responsibilities: Who does what in relation to the policy
- Guidelines and Procedures: Specific rules, steps, or criteria to follow
- Compliance and Monitoring: How adherence will be ensured
- Review and Updates: Frequency and process for policy maintenance
- References: Related laws, standards, or resources
Tips for Best Results
- Be Specific in Your Policy Context: Provide detailed information about your organization, industry, and the specific needs the policy should address. The more specific your context, the more tailored the policy will be.
- Upload a Reference Policy: If you have existing policies with a preferred style or format, uploading one will help ensure consistency across your policy documents.
- Include Relevant Legislation: When compliance is critical, providing the exact legislative text will ensure your policy appropriately addresses all legal requirements.
- Use Additional Instructions Effectively: Use this field to specify any particular requirements, preferences, or special considerations that should be incorporated.
- Review and Customize: While the app generates comprehensive policies, always review and customize the output to ensure it perfectly fits your organizational needs and culture.
Common Use Cases
The Policy Drafter app is particularly valuable for:
- New Policy Development: Quickly create policies for new areas of operation or compliance requirements
- Policy Standardization: Establish consistent structure and language across all organizational policies
- Regulatory Updates: Update existing policies to reflect changes in laws or regulations
- Policy Expansion: Develop more detailed policies from basic frameworks
- Cross-Industry Adaptation: Adapt policies from one industry or context to another
- Compliance Verification: Ensure policies meet all relevant legislative requirements
Limitations
- The app draws on general best practices but may not capture all organization-specific nuances
- Legislative review is based on provided legislation and may not account for all applicable laws if not provided
- The app works best with clear, specific input; vague requirements may result in more generic outputs
- Policy drafts should always be reviewed by appropriate stakeholders before implementation
- The app focuses on content rather than final design/layout elements
