Adding Archie to a Gmail inbox

Archie, our financial AI assistant, requires access to your invoices/accounts mailbox to process them seamlessly. To ensure this, his email address needs to be integrated into your email system in one of the following ways.


For a Shared Mailbox :

Step 1: Access Google Admin Console

  • Open your web browser and go to admin.google.com.
  • Log in with your administrator account.


Step 2: Navigate to Groups

  • In the Admin Console dashboard, find and click on the "Groups" section.


Step 3: Select the Shared Mailbox

  • In the Groups section, find the Accounts/Invoices mailbox (group) you want to add the email address to and click on it. 


Step 4: Add Archie to the Group

  • Once you are in the group settings, go to the "Members" tab.
  • Click on "Add members" or a similar option.
  • In the dialog that appears, enter Archie's email address (We will generate this email address on our end and provide you).
  • Confirm by clicking "Add" or "Save".


Step 6: Confirm Addition

  • The email address should now appear in the list of members of the shared mailbox.
  • Verify that the new member has been added correctly.


You have successfully added Archie to your Accounts/Invoices mailbox in Gmail. Archie should now be able to access all the emails landing in the shared mailbox to process the invoices.


For An Individual Mailbox :


Step 1: Open Gmail Settings

  • Open Gmail and sign in to your account.
  • Click the gear icon (⚙️) in the top right corner and select "See all settings."


Step 2: Access Filters and Blocked Addresses

  • Click the gear icon in the upper right corner to open the Settings menu.
  • Go to the Filters and Blocked Addresses tab.
  • Click on Create a new filter.


Step 3: Set Filter Criteria and choose filter actions

  • In the filter creation window, specify the criteria for the emails you want to forward.
  • Once you have set your criteria, click on Create filter. 
  • Check the box next to Forward it to.
  • Enter the Archie email address where you want to forward the emails (We will generate this email address on our end and provide you).

    Note: Follow the prompts to add and verify a forwarding address:
    • Go to Settings > Forwarding and POP/IMAP tab.
    • Click on Add a forwarding address.
    • Enter the email address and follow the verification steps.


Step 4: Create the Filter 

  • After entering the forwarding address, ensure any other desired actions are selected (e.g., Skip the Inbox, Mark as read, etc.).
  • Click on Create filter.


You have successfully setup a forwarding rule on your Accounts/Invoices mailbox in Gmail. Archie should now be able to access all the emails landing in the Accounts/Invoices mailbox to process the invoices.
